Shipping & Delivery

VYKA Diamonds ships certified diamond jewellery to 14 countries, fully insured, on a contracted FedEx account. Shipping is free to all of them but one, and every order travels Delivered Duty Paid — customs duty, tax and import fees are covered by us before the parcel leaves. The price you see is the price you pay, delivered, and there is nothing to settle with a courier at the door.

Where we ship

We ship from the United Arab Emirates to the fourteen destinations below. Every estimate is counted from the moment your order is confirmed — not from dispatch. Most of that time is us making and preparing your piece, not the parcel flying: once it is dispatched, transit is typically 1 to 3 business days within the UAE and 2 to 4 business days to Saudi Arabia. Prices across the site are shown in your local currency automatically, and every price already includes VAT and customs duty. The figure you see on a product page is the figure you pay, delivered.

What "Delivered Duty Paid" actually means

Most cross-border jewellery arrives with a bill attached. The courier holds the parcel, calculates import duty and VAT on the declared value, and asks the recipient to settle it before releasing the box. On a diamond ring that can be a substantial and unwelcome surprise.

We do not work that way. Every VYKA order ships Delivered Duty Paid (DDP). We calculate the destination's duty and tax before the parcel leaves, we pay it, and it is already inside the price you were quoted. When the courier arrives there is nothing to settle, nothing to reclaim, and no separate invoice.

This is the single most common question we are asked on WhatsApp, and the answer is simpler than most jewellers can give:

Duty, tax and shipping are all included — to thirteen of our fourteen destinations there is nothing added at checkout at all. Shipping is free to the UAE, Saudi Arabia, Qatar, Bahrain, Oman, Kuwait, Jordan, the United States, Canada, Australia, New Zealand, Singapore and Hong Kong. The only exception is Pakistan, where shipping and payment are arranged with you directly for the reasons set out below. Everywhere else, the price on the product page is the total, delivered.

That is the whole promise, and it is worth being blunt about why it matters. A quoted price that excludes duty is not a price, it is an opening position — and the gap only becomes visible once the parcel is already at the border and you are the one being asked to close it. We would rather absorb the duty and quote you a real number.

Who carries it, and who clears it

Our primary carrier is FedEx, on a contracted account with negotiated rates for high-value goods. For selected high-value consignments we use Brinks, the specialist secure-logistics operator that moves precious stones and metals for the trade.

The part that matters more than the name on the van: FedEx is also our customs clearing agent. One company carries the parcel and clears it through customs at the destination. There is no third-party broker in the middle, which is why DDP works cleanly for us and why, when a shipment needs attention at a border, there is a single party to speak to rather than a chain of them.

Every shipment is booked with signature on delivery. Nothing is left at a door, with a neighbour, or in a parcel locker.

How long it takes

Two separate clocks run on your order, and it is worth understanding both — because the longer one is almost always us, not the courier.

Before dispatch

You will receive a confirmation email within 24 hours of successful payment. Orders are processed after payment authorisation and any verification checks that a high-value purchase requires — these protect you as much as us.

If your ring is being made rather than picked from stock — anything built through our Ring Studio, any custom setting, or a stone paired to a setting for you — allow 3 to 4 weeks of manufacturing in place of our standard preparation time. A ring resized before dispatch is faster; see our resizing policy for how that works after delivery.

After dispatch

Once your piece is finished and dispatched, the flight is short: typically 1 to 3 business days to a UAE address and 2 to 4 business days to Saudi Arabia. That is the part people expect to be slow and it is not — the preparation before it is what takes the time, which is why the table quotes the whole journey from confirmation rather than just the last leg.

All of these are estimates. Carrier schedules, customs inspections, public holidays and weather sit outside anyone's control, and we would rather quote a window we can keep than a date we cannot.

Once your order is dispatched you receive a tracking number by WhatsApp and email, and you can follow the parcel on the carrier's own site. If you would rather just ask a person where your ring is, message us and we will find out.

The Gulf home lane

The UAE and Saudi Arabia are where most VYKA orders go, and both ship free.

United Arab Emirates — 7 to 15 business days, free. This is our home market and the shortest lane we run. There is no import duty for us to absorb and no border for the parcel to cross. Saudi Arabia — 10 to 15 business days, free. Saudi is our largest market by volume. Duty and VAT into the Kingdom are meaningful and we absorb both, which is why a price quoted here is directly comparable with a Riyadh or Jeddah retail counter rather than being a pre-duty figure that grows on arrival. The wider Gulf

Qatar, Bahrain, Oman and Kuwait are all served, all shipped free, all Delivered Duty Paid, all insured. Three of them have a local requirement worth knowing about in advance, because hearing it from us is better than hearing it from a customs officer.

Qatar. A straightforward lane and, at the time of writing, the least-taxed cross-border destination we serve. Delivery 2 to 3 weeks. See our Qatar diamond guide.

Bahrain. Imported jewellery is subject to hallmark verification by the Bahraini authorities. Our pieces carry hallmark and purity stamps, so this is a clearance step rather than an obstacle — and the 2-to-3-week window is set wide enough to absorb it. See our Bahrain diamond guide.

Oman. Higher-value consignments into Oman attract additional customs formalities. FedEx clears on our behalf and we handle the paperwork; you are not asked to file anything. If your order is affected we will tell you before dispatch, not after. See our Oman price guide.

Kuwait. Kuwait applies specific rules to imported gold jewellery, and the position depends on the piece. Rather than quote a delivery window we might not keep, we confirm the import route for your specific order with our carrier before we dispatch it, and we tell you what we find. If a piece cannot be delivered cleanly, you will know before you have waited three weeks to find out — and we would rather lose the order than send a parcel that gets refused. Beyond the Gulf

Eight further destinations are served on the same terms: insured, duty paid, signature required, tracked, 2 to 3 weeks from order confirmation.

Jordan, the United States, Canada, Australia, New Zealand, Singapore and Hong Kong all ship free, exactly as the Gulf does. A longer lane means more time in transit and more scope for a customs inspection to add a few days, so the window is set at two to three weeks rather than quoted optimistically.

Pakistan is the one exception on this page. Delivery is the same 2 to 3 weeks, but shipping and payment are arranged with you directly rather than through standard checkout, because cross-border payment limits into Pakistan make a card transaction unreliable above modest values. Message us and we will set it up properly — it is not a harder purchase, just a different route to the same place.

One honest note about time zones. Our team answers from the Gulf. If you are in North America, Australia or New Zealand, a message sent in your evening will usually be answered while you sleep — we will not leave you waiting, but we cannot promise a same-minute reply the way we can inside the Gulf.

Insurance, and orders above the standard limit

Every shipment is fully insured in transit against loss and damage. If a parcel is lost or arrives damaged, you are covered — you are not left arguing with a courier.

Carriers apply their own declared-value limits to jewellery consignments, and those limits are lower than the value of some of the pieces we sell. Where an order exceeds the standard limit on our account, we move it on an arranged secure service — Brinks or an equivalent — rather than quietly under-declaring it. Under-declaring a parcel is how people discover, at exactly the wrong moment, that their insurance covers a fraction of what they lost. If your order needs this, we will tell you and arrange it before dispatch. It does not cost you extra.

Receiving your parcel

All deliveries require a signature on receipt, and carriers will not leave a package unattended under any circumstances. Please make sure somebody will be at the delivery address.

For high-value consignments the carrier may ask the person signing to show photographic identification, and in some destinations may require it to match the name on the shipment. If you are sending a ring to a proposal address, a workplace, or somewhere you will not be yourself, tell us at checkout and we will make sure the shipment is set up so the right person can actually receive it.

If nobody is available, the carrier follows its standard redelivery or hold-at-depot process. You can arrange an alternative time or collection point directly with them using your tracking number, or contact us and we will do it for you.

If something goes wrong

Most orders arrive without incident. When they do not, this is what happens.

  • Held in customs. Because we ship DDP with FedEx clearing on our behalf, a hold is almost always a paperwork query rather than a payment demand — and it comes to us, not to you. If you are ever asked to pay duty or tax on a VYKA order, do not pay it. Contact us and we will resolve it.
  • Delayed. We track every shipment ourselves. If a parcel stops moving, you will usually hear from us before you have to ask.
  • Damaged, wrong, or showing signs of tampering. Contact us within 48 hours of delivery with photographs of both the outer packaging and the contents. We arrange an inspection and resolve it.
  • Lost in transit. Covered by the shipment insurance. We handle the claim; you are not asked to pursue the carrier.
  • Wrong address. We cannot be responsible for delays or failed deliveries caused by incorrect address details supplied at checkout, so please check them carefully — but if you spot a mistake before dispatch, tell us immediately and we will correct it.

Packaging

Your jewellery is cushioned and protected inside its box for transit. Depending on the route, it may arrive in a VYKA Diamonds presentation box or in secure, discreet outer packaging with no indication of the contents — on some lanes, an unmarked parcel is simply safer. In both cases the piece itself is protected, and in both cases it arrives ready to give.

Questions we are asked most

Do I have to pay customs duty when my order arrives?
No. Every VYKA order ships Delivered Duty Paid, which means we calculate and pay the destination's customs duty, tax and import fees before dispatch, and they are already included in the price you were quoted. If a courier ever asks you to pay duty or tax on a VYKA order, do not pay it — contact us and we will resolve it directly.

Is shipping free?
Yes, to thirteen of our fourteen destinations — the UAE, Saudi Arabia, Qatar, Bahrain, Oman, Kuwait, Jordan, the United States, Canada, Australia, New Zealand, Singapore and Hong Kong. Nothing is added at checkout for freight, and duty and tax are included everywhere. The only exception is Pakistan, where shipping and payment are arranged with you directly.

Which courier do you use?

How long will my ring take to arrive?
From the day your order is confirmed: 7 to 15 business days to the UAE, 10 to 15 business days to Saudi Arabia, and 2 to 3 weeks to our other destinations. Most of that is preparing your piece — once dispatched, transit is typically 1 to 3 business days within the UAE and 2 to 4 business days to Saudi Arabia. If your ring is being made for you, through Ring Studio or any custom setting, allow 3 to 4 weeks of manufacturing in place of our standard preparation time.

Is my order insured?
Yes, every shipment is fully insured in transit against loss and damage. Where an order exceeds the standard declared-value limit that carriers apply to jewellery, we move it on an arranged secure service instead, at no extra cost to you, rather than under-declaring the parcel.

Do I need to be there to sign for it?
Yes. Every delivery requires a signature and carriers will not leave a parcel unattended. High-value consignments may also require photographic identification from the person signing. If you need it delivered somewhere other than your own address — for a proposal, for instance — tell us at checkout and we will set the shipment up accordingly.

Can you ship to my country if it is not on the list?
Ask us. Some destinations we can serve on request; others have import rules on gold and diamond jewellery that we will not pretend to work around, because a refused parcel helps nobody. We will tell you honestly which of the two applies to yours.

Can I track my order?
Yes. Once your order is dispatched you receive a tracking number by both WhatsApp and email, and you can follow it on the carrier's own site. You are also welcome to simply message us and ask.

This Policy forms part of our Terms & Conditions and is intended to clearly set out customers’ rights and responsibilities regarding delivery, returns, cancellations, and refunds.

A. Definitions

  • VYKA / we / us / our: Vyka Trading FZE LLC (SPCFZ, United Arab Emirates)
  • You / your: the customer who purchased the item
  • Item: the diamond and/or jewellery supplied under your order
  • Custom Order: any Item modified from original specification (including engraving, custom setting choices, or any resizing)
  • Claim Limit: USD 15,000 (or AED equivalent at time of purchase) per order, unless stated otherwise on the invoice

B. Delivery

Shipping process: Orders are processed after successful payment authorisation and any required verification checks. You must provide accurate delivery details.

Carrier and customs clearance: Shipments are carried by FedEx, which also acts as our customs clearing agent at the destination. Selected high-value consignments are carried by Brinks or an equivalent insured valuables service. All shipments are insured in transit and require a signature on delivery.

Duties and taxes: All orders are shipped Delivered Duty Paid (DDP). Customs duty, import tax and clearance charges are paid by VYKA before dispatch and are already included in the price shown.

Delivery fees: Shipping is free to the United Arab Emirates, Saudi Arabia, Qatar, Bahrain, Oman, Kuwait, Jordan, the United States, Canada, Australia, New Zealand, Singapore and Hong Kong. Shipping to Pakistan is arranged with you directly rather than through standard checkout.

Delivery timelines (estimates): counted from confirmation of your order, not from dispatch. Most of that period is manufacture and preparation; transit itself is typically 1–3 business days within the UAE and 2–4 business days to Saudi Arabia.

  • United Arab Emirates: 7–15 business days
  • Saudi Arabia: 10–15 business days
  • Qatar, Bahrain, Oman, Jordan, United States, Canada, Australia, New Zealand, Singapore, Hong Kong, Pakistan: 2–3 weeks
  • Kuwait: the import route for your Item is confirmed with you before dispatch
  • Custom Orders and rings built through Ring Studio: allow 3–4 weeks of manufacture in place of standard preparation time

    Payment confirmation: you will receive confirmation by email (and/or SMS if provided) immediately or within 24 hours of successful payment.

C. Returns & Refund Pathways

VYKA operates two pathways:

1) Change-of-Mind Returns (21 Days)

This is a change-of-mind return pathway (not a defects process). You must request a return within 21 days of delivery (or collection, if applicable).

Eligible Items (must meet ALL):

  • within the Claim Limit;
  • unworn, unused, resale-ready, with original packaging and certificates;
  • not a Custom Order;
  • paid in full (and collected within 21 days if collection applies); and
  • certified stones meet quality requirements, including:


    no brown, green, or milky undertones;


    Round: Cut Excellent/Ideal, Polish Excellent, Symmetry Excellent;


    Fancy shapes: Polish/Symmetry Excellent–Very Good.


Change-of-mind exclusions (non-negotiable):

  • items marked final sale;
  • partially paid orders / payment plans / unpaid deposits;
  • Custom Orders (including engraved or resized);
  • eternity/full-set bands where resale readiness cannot be assured (where stated);
  • treated natural diamonds (e.g., HPHT/irradiation) outside inspection coverage;
  • rush/priority/special handling fees once initiated (non-refundable).

2) Defective / Wrong / Damaged / Tampered Items

If any of the following occurs, you must contact us promptly and provide clear photos and order details:

  • the wrong product was sent by the merchant;
  • the product is defective;
  • the product was damaged in shipping;
  • the product is tampered (including packaging tamper concerns).

These cases are handled under consumer protection/warranty processes and may qualify for repair, replacement, exchange, or refund, depending on inspection results and applicable law.

D. How to Request a Return or Report an Issue

Contact us via our published channels within the applicable timeframe, and include:

  • order number,
  • proof of purchase, and
  • clear photos of the Item, packaging, and any damage/tamper indicators.

We may request additional information reasonably required to validate the claim.

E. Inspection, Return Shipping & Risk

For returns, VYKA may conduct a QC review (typically 7–10 business days after receiving required information and/or the returned Item).

Return shipping: unless required otherwise by law or confirmed by VYKA in writing, you are responsible for return shipping costs, including insurance and secure transport. The Item remains your responsibility until received and signed for by VYKA (or our nominated partner). Lost/damaged/seized return shipments may be declined.

F. Refund Method and Timing (Refund Policy)

Refunds will be made onto the original mode of payment where possible. Refund processing time varies by payment provider and issuing bank and will typically be completed within 10 to 45 days, depending on the issuing bank of the credit card.

Non-refundable amounts: shipping fees, duties, taxes, and non-refundable service fees are typically not refunded unless required by law or explicitly stated on your invoice.

G. Fair Use

Maximum one approved change-of-mind return per customer per calendar year, unless agreed otherwise in writing. Misuse, repeated returns, or suspected fraud may result in refusal.

H. Updates

We may update this Policy from time to time. Claims are assessed under the version applicable at the time of submission.
